CORE PURPOSE OF JOB

The purpose of this post is to direct and oversee the development, implementation, monitoring, and continuous improvements of policies, procedures, processes and strategies for the effective and efficient functioning of Student Systems, Records, and Registration functions, as well as functions in the broader Academic Administration (AA) where required, in support of the core institutional business of learning, teaching, research, and community engagement.

KEY PERFORMANCE AREAS

  • Direct and manage efficient and effective management of Student System, Records, and Registration Standard Operating Procedures (SOPs) and processes.
  • Initiate strategic planning for the section and conduct annual strategic planning sessions.
  • Direct and manage the maintenance and enhancement of the academic structure on the ITS System of the University and general student system.
  • In collaboration with the Department of Strategy Intelligence and Data Analytics, coordinate the updating of the PQM in conjunction with faculties and the DHET.
  • Direct and manage the maintenance and provision of students’ records.
  • Plan and management of the online registration processes and system.

 

  • In collaboration with the Department of Strategy Intelligence and Data Analytics, coordinate the execution of certain aspects of the auditing of student data and Higher Education Management Information Services reporting to the DHET.
  • Direct the innovative development and enhancement of student systems within Academic Administration.
  • Project management of the rollout of technologies such as the use of Artificial Intelligence (AI) in administrative processes.
  • Lead and manage the Student Systems Office and Student Records Office teams.
  • Direct and manage human resources, transformational change and financial management of the section.

CORE COMPETENCIES

  • Proven leadership and managerial skills.
  • Proven experience in academic administration business process reengineering.
  • Excellent knowledge of university governance structures, policies, and procedures.
  • Proven experience in DHET data reporting prescripts/directives, HEQC and SAQA and other relevant national prescripts.
  • Proven experience of technically analysing statutory requirements as articulated by statutory bodies and resolve student data issues.
  • Report-writing skills.
  • Knowledge of implementing policies and procedures and monitoring their effectiveness.
  • Project management skills.
  • Excellent interpersonal skills and the ability to communicate clearly at all levels of the organisation.
  • Excellent ICT, skills including advanced-level MS Office experience including Excel.
  • In-depth knowledge of the ITS system and other business administration software.
  • Good financial and budget management skills.
  • Resilient and able to maintain performance in high-pressure environments.

REQUIREMENTS

Required minimum education:

An appropriate M + 4 qualification

Requiredminimumexperience:

  • At least six years' relevant experience at a higher education institution in an Academic Administration or ICT Student System environment.
  • Advanced knowledge of the ITS system and MS Office packages, including advanced knowledge of Excel.
  • At least three years' proven managerial experience in a senior management role.
  • Shortlisted candidates will be required to make themselves available for psychometric testing which would inform the shortlisting and/or contribute towards the interview process.
